COVID-19 Guidelines

Aloha!

Please note, if you plan to come to Hawaii, it is imperative to know:

  1. All trans-pacific travelers are subject to the mandatory 10-day quarantine unless they have an exemption or a negative COVID-19 NAAT (Nucleic Acid Amplification Test) test result from a State of Hawaii “trusted partner”. Please read through the State’s Safe Travels Program before booking a trip.
  2. The official quarantine exemption timeline begins the moment your Safe Travels QR code is scanned at the airport. If your results have not come back yet, you must quarantine until they are uploaded and approved by the State of Hawaii. Starting November 24, 2020, the State of Hawaii will require all travelers to upload their negative test results before boarding their fight to Hawaii.
  3. While you are in quarantine, you must remain in your villa. You may use your villa’s personal lanai (balcony). Meals and other necessities must be ordered and delivered to your villa (please make arrangements with your Rental Agent or greeter). You may leave your room only in the event of an emergency or to seek emergency medical attention.
  4. Travelers that are subject to quarantine are not allowed to rent a car or use public transportation. Please utilize private transportation to your accommodations where you will be quarantining. Quarantine travelers must go straight to place of quarantine from the airport, with no detours.
  5. Military – In order to qualify for a COVID-19 exemption to the quarantine, military on active duty must submit their military-issued travel order upon deplaning in Hawaii at the time of screening.
Check-In Information

Please note the following as ACCEPTABLE PROOF OF QUARANTINE EXEMPTION when checking in at Beach Villas at Ko Olina.

  1. QR Code from Safe Travels APP stating they are exempt.
  2. Email from [email protected] stating they are exempt.
When a guest checks-in, we need to see one of two things:
  1. QR Code from Safe Travels APP
    • Travelers with a quarantine exemption thru the pre-travel testing program should show their status of the SafeTravels app on their mobile device. It would look like this.
    • Military travelers on official business and some federal employees traveling on their credentials will not have an exemption email, but should be shown as exempt in Safe Travels app.
  2. Email from [email protected]
    • Critical infrastructure workers with a partial quarantine exemption will have an email from this account, [email protected]hawaii.gov.
    • The State’s COVID Exemption Task Force also issue a variety of other exemptions via email, and any travelers with an exemption issued from this account should have an email.

Information obtained from a direct telephone conversation with the City & County of Honolulu Emergency Order Information Hotline, (808) 768-2489, states the following options available to guest should they arrive on island without proper proof:
  1. Wait out quarantine in their unit.
  2. Return to their point of origin.

NOTE: taking a new test is not possible while in quarantine.

Violations will be up to $5,000, up to one year in jail, or both. Health and safety is everyone’s main concern at this challenging time in our lives.



Facility Information

In conjunction with Mayor Caldwell’s current Emergency Order and our continuing commitment to public health, the following is effective immediately at Beach Villas:

  • FACE COVERINGS WORN WHILE IN PUBLIC
    State Mandate: all persons in the State shall wear a face covering over their nose and mouth when in public except while swimming.
  • SOCIAL GATHERINGS NO MORE THAN 10 PEOPLE INDOORS pursuant to Governor Ige’s EXECUTIVE ORDER NO. 21-05:
    Also, note limits on Common Area, and Recreational Facility Use: Except to the extent otherwise required by law (including, but not limited to the Federal Fair Housing Act, and any amendments thereto), the use of the Project facilities, Common Areas, and Recreational Facilities is restricted to no more than a total of eight (8) persons from any three-bedroom Apartment, nor more than a total of six (6) persons from any two-bedroom Apartment shall be permitted to use and/or be present on the Common Areas and/or Recreational Facilities at any time, except such limits shall not include infants less than two (2) years of age in the total number of persons permitted to use and/or be present on the Common Areas and/or Recreational Facilities at any time.
  • REGISTERED PERSONS ONLY:
    Only registered paying rental guests, Owners, and Owners registered guests are allowed in common areas such as pool & spa areas, BBQ areas, and Fitness Center, or in private Villas, social distancing to be observed. Any registered paying rental guest or Owner or Owner’s guest must wear a non-medical face-covering in common areas at all times.
  • VIOLATORS WILL BE REPORTED:
    If there are residents violating ANY applicable Emergency Orders issued by the Governor or Mayor, our staff is authorized to first issue a written warning, and if the violation of the Emergency Order continues, the violator(s) will be reported to law enforcement and / or the State of Hawaii DOH, who generally respond very promptly to reported violations.

Services and Amenities Provided with Social Distancing:

  1. Makai Hale beach bar
  2. Ko Olina Activities
  3. Koi Feedings
  4. Island Activities (limited re-openings)
  5. Lap Pool
    • Hours of operation: 6 AM – 9 PM
    • First priority is lap swimming.
    • No water play or loud voices in this quiet pool.
    • A basket with disinfecting solution and wipes are provided on tables.
    • Aloha Ambassadors patrolling hourly logging users and gently enforcing COVID protocols if needed which
      include Social Distancing, identifying any violators of the Quarantine Order, etc.
  6. Lagoon Pool Amenities (Limited Use Only): pool, BBQ grills, and spas
    • Hours of operation: 8 am – 9 pm
    • Spas: marked off with arrows indicating 6 ft spacing. No more than 5 person maximum per spa.
    • BBQ Grill:
      1. 11:00 AM to 9:00 PM,
      2. One grill only per station for social distancing.
      3. A basket with disinfecting solution and wipes are provided.
      4. Please log your use of the grill and time.
        **Practice Social Distancing. Additional COVID security protocols include monitoring of
        pools and spas for possible quarantine guests and verifying only registered guests and owners
        in the recreation areas.
    • A basket of disinfecting solution and wipes are provided on tables.
    • Aloha Ambassadors patrolling hourly logging users and gently enforcing COVID protocols if needed which
      include Social Distancing, identifying any violators of the Quarantine Order, etc.
  7. FITNESS CENTER:
    • Hours: 6:00 AM to 9:00 PM
    • Registered residents only, no guests, by reservation only. Reservations made at Front Desk in 50-minute intervals
    • Reservations taken one day in advance at the Front Desk
    • Register at Front Desk to get the key to the Fitness Center
    • 50 minutes to work out, then 10 minutes for our cleaners to disinfectant
    • Maximum Fitness Center occupancy: 10 persons (due to social distancing requirements)
    • Residents should sanitize equipment handles, free weight handles, areas touched after use
    • Sauna and steam room use permitted
    • Wash hands for 20 secs before leaving.
    • Please remember to return Fitness Center Key to Front Desk
    • Cleaners deep clean and disinfect upon closing
  8. OWNER’S LOUNGE:
    • Registered residents only – no guests
    • Social Distancing strictly observed.
    • Use face coverings if maintaining a physical distance of six (6) feet from persons who are not members of the same household or living unit is not feasible.

EFFECTIVE SEPTEMBER 13, 2021: SAFE ACCESS O’AHU affects Fitness Center and Bar Patrons

It has been confirmed, both Fitness Center and Beach Bar are affected by the “Safe Access O’ahu” program effective Monday, Sept 13. Please find FAQs prepared below.

What is “Safe Access O‘ahu”?

The “Safe Access O‘ahu” program requires all employees, contractors, and volunteers of businesses, such as restaurants, bars, gyms, movie theaters, museums, arcades and other similar establishments, to show proof of full vaccination against COVID-19 or a negative COVID-19 test result each week in order to operate. In addition, customers must show proof of full vaccination or a negative COVID-19 test result taken within the previous 48 hours in order to enter the establishment. Children under 12 years old are exempt.

What BVKO areas are affected?
  • Fitness Center and Beach Bar.
Who is affected?
  • Patrons of the Fitness Center and Beach Bar.
  • All AOAO employees, as we manage the Fitness Center and Beach Bar.
  • Any contractor remaining in the affected area for more than 15 minutes or more per 24-hour day.

What is required to use the Fitness Center or Bar?

  • Fitness Center – currently our Fitness Center is by reservation only, patrons must show proof of full vaccination or a negative COVID-19 test result taken within the previous 48 hours, and identification bearing the same identifying information as the proof of full vaccination at the time of signing up for the Fitness Center at the Front Desk. The status will be noted on Fitness Center Log and this is our official written record to be present to City and County should it be requested.
  • Beach Bar – patrons must show proof of full vaccination or a negative COVID-19 test result taken within the previous 48 hours, and identification bearing the same identifying information as the proof of full vaccination. The bar must develop and keep a written record describing its protocol for implementing and enforcing the requirements of this emergency order.

What ‘Proof of Vaccinations’ is acceptable?

Proof of full vaccination means demonstrating that you have completed a vaccination regimen approved by the Hawaii Department of Health in compliance with all requirements of the State’s Safe Travels program through providing:

  • a hard copy of a state-approved vaccination card;
  • a photograph/digital copy of a state-approved vaccination card; or
  • a Hawai‘i state-approved digital/smart device application confirming full vaccination status (including via the Safe Travels program/application).
  • Proof of a US FDA approved or US FDA EUA vaccination (currently Modern, Pfizer and Johnson & Johnson) administered outside the United States is acceptable for employees and patrons/customers.

What if an individual refuses to show proof of vaccination at an establishment that’s included in the emergency order?

  • An individual who refuses to show proof of vaccination may not enter except for very quick and limited purposes (such as using the bathroom, picking up food, paying a bill, or changing in a locker room).
  • When entering a venue for such limited purposes, the individuals must wear a face mask.

Do I need to verify that the proof of vaccination is real?

  • No. However, if you suspect the proof of vaccination is fake, you do not need to accept it

What if someone presents a fake vaccination card?

  • If you suspect someone is presenting a fake vaccination card, you may decline to accept it

May an establishment adopt a stricter policy and require that staff and patrons be fully vaccinated to enter my establishment?

  • Yes
Who is exempt from the Safe Oahu order?
  • Patrons with proof of a negative COVID-19 test result taken within 48 hours of entry into the covered premises, and identification bearing the same identifying information as the proof of negative COVID-19 test presented (the negative test result required under this section B must be from an FDA approved, or FDA EUA approved, molecular or antigen test)
  • Full or part-time employees, interns, volunteers, or contractors with proof of a negative COVID-19 test result taken within seven (7) days of entry into the covered premises (the negative test result required under this section B must be from an FDA approved, or FDA EUA approved, molecular or antigen test)
  • Individuals under 12 years of age
  • Individuals entering and remaining for 15 minutes or less per 24-hour day

 

Required Signs and Documents

Is there any required signage?
  • Yes. Must post a sign in a conspicuous place in the affected area that notifies employees and patrons about the testing or vaccination requirement by September 13, 2021.
  • The sign must be 8.5 x 11 inches or larger.

Where do I need to post the sign?

  • The sign must be posted in a location that is easily visible by patrons before they enter the indoor area.

What documents do I need to maintain?

  • You must have a written record that describes how you will verify proof of vaccination or proof of negative COVID-19 tests for staff and patrons. The record must be on-site and available for inspection
